Which document when?

A typical export deal uses these documents in this order. Each one can be made on this page.

  1. QuotationYou price the goods and state validity, payment and delivery terms (Incoterm).
  2. Purchase orderThe buyer orders. Your quotation number goes in the reference field.
  3. Proforma invoiceYou confirm the order as an invoice-shaped document. The buyer uses it to pay a deposit, open a letter of credit or apply for an import licence.
  4. Commercial invoice + packing listShipped goods are described for customs. The invoice carries values, HS codes and origin; the packing list carries packages, weights and measurements. Both must match line for line.
  5. Delivery note / receiptOn delivery the receiver signs the delivery note. When paid, you issue a receipt. A tax invoice is issued where local tax law requires one.

Export & import paperwork by country

🇰🇷 South Korea

Electronic declarations on UNI-PASS; a customs clearance code for every importer and exporter; KORUS, EU–Korea FTA and RCEP preferences need no fixed certificate form.

Importing into South Korea

  • Import declaration (수입신고) filed electronically on UNI-PASS by the importer or a licensed customs broker, after the vessel or aircraft arrives (early filing is allowed). Duty is paid before release, or within 15 days under post-payment.
  • Documents: commercial invoice, packing list, bill of lading or air waybill, certificate of origin if claiming a preference, and any product-specific approvals. They are submitted when customs asks; otherwise the declarant keeps them.
  • Importer ID: every importer and exporter needs a customs clearance code (통관고유부호), applied for on UNI-PASS; individuals get a code starting with P.
  • Preferences: Korea–US (KORUS) needs no prescribed certificate — the required origin data can be on the invoice or any document, and claims are possible up to a year after import. EU–Korea FTA: origin declaration on the invoice (any exporter up to €6,000, approved exporter above). RCEP and the Korea–Indonesia CEPA also apply.
  • Product rules: KC certification for electrical, radio and children's products; MFDS registration and a licensed importer for food, supplements, cosmetics, drugs and medical devices; chemicals checked with the Korea Chemicals Management Association.

Exporting from South Korea

  • Export declaration (수출신고) on UNI-PASS using the customs clearance code. Shipments under KRW 2 million FOB can use the simplified route, but a full declaration is needed to claim export performance, a customs refund, a certificate of origin or zero-rated VAT.
  • Controlled goods (strategic items, some chemicals, cultural property) need confirmation from the relevant ministry before export.

Your commercial invoice must show

  • Total and unit value, quantity, marks and numbers, description, ship-from and ship-to (trade.gov lists the original plus two copies).
  • No letterhead or signature requirement is published for Korea, but a company stamp (직인) is customary on Korean documents.

Other documents you may need

  • Insurance certificate when the seller insures (CIF/CIP).
  • ISPM 15 mark on wood packaging; MSDS for chemicals; quarantine certificates for plants, animals and food.

Thresholds & recent changes

  • Low-value route: list clearance without an import declaration certificate for goods under US$150 (US$200 for US-origin express shipments); self-use goods up to US$150 are duty- and VAT-free. Food, supplements, medicines and some cosmetics are excluded.

Why we built this

We run a small trading business ourselves and kept hitting invoice sites that wanted an account, a subscription, or a watermark removed for a fee. We wanted something that just makes the document, looks the way we want it to, and keeps our customer list to ourselves. So we built this and share it with you.

Questions

Is my company or customer data stored anywhere?

No. Everything stays in your browser. If you tick "Remember on this device", the form is kept in your own browser's storage so it is there next time; it is never sent to us. You can also save a template file to your computer and load it again later.

Which file formats can I download?

PDF (with the fonts embedded, so it looks the same everywhere), Word (.docx, editable) and Excel (.xlsx, with real formulas for totals). You can also print straight from the preview.

Can I use my own fonts and colours?

You can upload a logo, choose main, secondary and accent colours, pick from free commercially licensed fonts (Noto Sans, Lato, Poppins, Noto Serif and more, plus Korean, Japanese and Chinese fonts), and set font sizes, bold, italic, alignment, table borders and paper size.

Does it work in Korean, Japanese or Chinese?

Yes. The labels printed on the document can be in English, Korean, Japanese, Chinese, Spanish, Portuguese, German, French, Indonesian or Vietnamese, independent of the website language, and the matching fonts are embedded in the PDF.

Are these documents legally valid?

A quotation, proforma invoice, commercial invoice, packing list or purchase order is a commercial document and is valid when it carries the information its recipient (customer, bank, customs) needs. Tax invoices are different: several countries require them to be issued through a government system (see the notes in the tax invoice tab), and the layouts here follow each country's required contents but do not replace those systems.
